Admin Assistant
Job description:
Our client is seeking an organized and detail-oriented Administrative Operations Support Specialist to provide critical support within a fast-paced home health environment. This role partners closely with leadership to ensure operational efficiency, timely patient care delivery, and compliance with regulatory standards. The ideal candidate thrives in a collaborative setting and can manage multiple priorities with a sense of urgency and discretion.
Key Responsibilities
* Partner with the Administrator to ensure all patients are assigned, scheduled, and seen in a timely manner
* Monitor census, admissions, discharges, and visit utilization
* Identify and resolve operational gaps, including missed visits and delayed start of care
Staffing & Scheduling Support
* Provide backup support for scheduling and intake to ensure appropriate coverage and productivity
* Assist in managing call-outs and staffing shortages in real time
* Collaborate with leadership on recruitment needs and support HR with new hire onboarding and training
Intake & Admissions Management
* Support referral intake from hospitals, physicians, and community partners
* Ensure timely insurance verification and authorization processes
* Monitor referral-to-admission conversion rates and drive intake efficiency
* Push Plan of Care (POC/PCR) and support billing-related inquiries
Documentation & Systems Management
* Oversee workflow within EMR system (HCHB/Homecare Homebase preferred)
* Ensure timely submission of documentation and physician orders
* Maintain accurate, compliant, and streamlined workflows
Performance & KPI Management
* Track and report on key performance indicators (census growth, productivity, missed visits, timeliness of care)
* Analyze operational data and recommend process improvements
* Provide regular performance updates to leadership
Compliance & Risk Management
* Support adherence to CMS and regulatory requirements
* Monitor documentation timelines and audit readiness
* Assist in implementing corrective action plans as needed
Cross-Functional Collaboration
* Partner with Administrator, Director of Operations, Clinical Managers, and Billing teams
* Facilitate communication across departments to ensure alignment and efficiency
* Participate in operational meetings and case conferences
Qualifications
* Experience in home health, healthcare operations, or a related field preferred
* Strong understanding of scheduling, intake, and administrative workflows
* Experience with EMR systems (Homecare Homebase strongly preferred)
* Knowledge of insurance verification and authorization processes
* Ability to analyze data and drive operational improvements
* Strong organizational, communication, and problem-solving skills
* Ability to handle confidential information with professionalism and discretion
